Reports and exports
Reports shows submitted activity across the company. History is the audit trail of what was changed, by whom and when. Both are for managers and administrators.
Before you begin
Section titled “Before you begin”- You hold the Manager or Administrator role. Employees and approvers who are neither do not see these screens.
Read the reports
Section titled “Read the reports”-
Open Reporting in the left menu.
The page has three tabs: Overview, Exceptions and Activity.
-
On Overview, read Reported total, Approved awaiting processing, Submitted and Submitted exceptions, then the table of sheets with the employee, period, state and total. Choose Open to look at a sheet.
-
On Exceptions, see the warnings on submitted sheets, each with the employee’s explanation. Draft warnings are not listed.
-
Narrow the period with Today, 7 days, 30 days, 60 days or 90 days, or choose Filter for more criteria such as employee, claim kind, type, code, scheme or state.
Export data
Section titled “Export data”- On Reporting, choose Excel or CSV to export what you see.
- From your account menu (top right), choose Export Data to download the company’s data as CSV. Managers and administrators can do this at any time, including when the company is locked out for billing.
An export contains the claims, their calculation details and confirmations, and the receipt or receipt-unavailable declaration for each expense. It does not contain anything the application does not already show on a sheet.
Read the history
Section titled “Read the history”-
Open History in the left menu.
-
History opens on Today, the highlighted button. Choose 7 days, 30 days, 60 days or 90 days to look further back, or Filter for more criteria.
Each row shows When, Action, Actor, Owner and Reason. Examples: a sheet submitted, approved or processed, an approver added or removed, a vehicle added, a plan quantity changed.
History keeps the actor’s name even after that person has left or lost a role.
What happens next
Section titled “What happens next”- Totals are the sum of the amounts on each current sheet, with its state. There are no projections.
- The sheet period (the month a claim sits on) is separate from the date of the activity and from the date a sheet was submitted or processed. A report never presents the sheet month as the payment date.
