Reminders and escalations

When a sheet is submitted and nobody reviews it, MileageSheet can send a reminder to its approvers and later an escalation to your managers and administrators. Both are optional, and you choose how many days to wait.

  • You hold the Administrator role.
  1. Open Company. The Profile tab shows Reminder and escalation.

  2. In Interval Reminder, enter the number of days after submission to remind the approvers. Blank means reminders are not sent. There is no default.

  3. In Escalation interval, enter the further number of days after the reminder before escalating. Blank means escalation is not sent.

  4. Choose Save.

    The message “Saved.” appears.

For example, with a reminder of 1 and an escalation of 2, a sheet submitted on Monday gets a reminder on Tuesday and an escalation on Thursday.

  • A reminder goes to the sheet’s assigned approvers: a notification titled Approval Reminder, “A submitted sheet is still waiting for review”, and an email titled Approval reminder with a Review the sheet link.
  • An escalation goes to every manager and administrator: Approval Escalation, and an email titled Approval escalation. It says it is a visibility notice and does not assign the sheet to them.
  • If the sheet is approved, returned or withdrawn first, the pending reminder and escalation are not sent.

The intervals are copied onto each submission when it is made. Changing them affects sheets submitted afterwards, not ones already waiting.

Check that Interval Reminder has a number, that the sheet is still Submitted, and that the interval has passed. Intervals are whole days.
