Manage billing

Once you are subscribed, Billing shows every payment and change to your subscription on the left, and your current plan on the right. Stripe handles the card, invoices and cancelling.

Open your account menu (top right) and choose Manage Billing. The Current Subscription panel on the right shows the Plan, Price, Status, Renews on (or Ends on if you have cancelled) and People, for example “3 of up to 5”, with a bar showing how full your plan is. On a phone the panel comes first.

The Transactions table on the left lists, newest first, every payment and every change to your subscription: the trial starting, the status changing, the number of people on your plan changing, a move to a larger plan, and a cancellation being set or withdrawn. It shows 10 a page. Use Next and Previous to move through it.

  1. Choose Filter, then pick a Type (Payments, Earlier years or Subscription changes) and choose Filter again. Clear the Type to see everything.
  2. On a payment row, choose View Invoice to open Stripe’s invoice in a new tab.
  1. On Billing, choose Manage Billing in the Current Subscription panel.

Stripe’s customer page opens in the same window. It shows your subscription, your next billing date, your payment method, your billing information and your invoice history.

  2. Change your card or billing details, download an invoice, or choose Cancel subscription.

A cancelled subscription keeps working until the end of the period you have paid for, and then the company is restricted. See Billing and the free trial.

  3. Use the link back to MileageSheet when you are done.

When you have more people than your plan covers

Section titled “When you have more people than your plan covers”

If you add people past the top of your band, Billing shows a warning: “You have more users than your plan covers.” It says how many days you have left.

  1. Choose Move to the larger plan now.

Stripe bills the difference for the rest of the current billing period straight away. Otherwise the larger plan starts at your next renewal.

  2. The warning goes away, and your plan now covers your people.

If you do nothing for 7 days, adding people is paused: nobody can be added until you move up or reduce the number of people. Everyone already in the company keeps working and can still claim, approve and process.

  • Your company is billed by its number of people from the next renewal, so adding someone does not trigger an immediate charge.
  • Removing people (by recording a leaving date) can bring you back under your band. It does not give a refund part-way through a period.
  • Above 150 people, contact the address shown on the plan page.

Move to the larger plan from Billing, or record a leaving date for people who have left. See Record a leaving date.
