Billing and the free trial
MileageSheet is paid for by the company, not by each person. Every company starts with a 30-day free trial, then needs a subscription to continue.
The trial
Section titled “The trial”- It starts when the company is created and needs no card.
- During it, everything works. Administrators see a short notice of the days left, once a day.
- Three days before it ends, Administrators are told. When it ends without a plan, the company is restricted.
Plans and bands
Section titled “Plans and bands”A plan is a flat fee for the whole company, set by how many people it has, in bands: 1 person, up to 5, up to 15, up to 50 and up to 150. You can pay monthly or annually, and each has its own set of bands. More than 150 people is agreed with us directly. Prices are shown excluding tax. Tax is added at checkout when it applies to you.
Who counts. Everyone who can sign in counts once, whatever their roles. People who have left do not.
How your bill follows your people
Section titled “How your bill follows your people”- When you add or remove a person, MileageSheet updates the quantity on your subscription. The new band is billed from your next renewal, with no extra charge in between.
- You can buy a larger band than you need, for example because you will be adding people. You then pay for that band until you change plan.
- If your people outgrow your band, Administrators are warned straight away and have 7 days to act. After that, adding people is paused until the company moves to a larger plan or has fewer people. Everyone already there keeps working.
- An Administrator can move up at once. Stripe bills the difference for the rest of the period.
When the company is restricted
Section titled “When the company is restricted”Access stops, but nothing is deleted. Everyone who signs in is taken to the Billing page.
- Administrators can choose a plan, and Administrators and managers can Export Data.
- Everyone can Sign out.
- Other people see “Ask an administrator … to choose a plan.”
Access returns when Stripe confirms the payment, not when you come back from the payment page.
When a payment fails or a subscription is cancelled
Section titled “When a payment fails or a subscription is cancelled”- A failed payment starts a grace period (7 days) while Stripe retries. Administrators are told, and access continues.
- A cancelled subscription keeps working until the end of the period you paid for.
Earlier company years
Section titled “Earlier company years”The subscription covers the current company year. An earlier company year for a person is bought separately, once for each person and year, and only while your subscription is active. See Buy an earlier company year.
