Company settings

Company settings are the rules that apply to everyone in your company. They live on the Profile tab of the Company page under Configuration. The company name stays at the top of that page and of its other tabs, and the tab you are on is highlighted.

  • You hold the Administrator role.

The Summary section shows your Jurisdiction, your Currency and distance (for example EUR, km, Europe/Dublin) and the Open company cumulative year. These are set when the company is created.

The month your cumulative year starts is chosen when you create the company, and it cannot be changed afterwards. It decides when the running total of distance resets to zero, and so which rate band applies. The Open company cumulative year in Summary shows where the current year starts. See How mileage is calculated.

Under Default approver and manager, choose a person for each. They are copied onto each new person so their first sheet can be submitted. Changing them later does not change people who were already added. Each person’s own list can be changed on their Approvers tab. See Choose approvers and managers.

Under Deadlines:

  • Backdating limit: the number of days back a claim can be dated. Blank means no limit. Zero is a real limit of zero days.
  • Submission deadline: the number of days after month end by which a sheet must be submitted. Blank means no deadline.
  • Expire drafts: tick it and an overdue Draft becomes Expired within about 15 minutes, by a background job. It cannot be edited or submitted, is not paid, and its mileage is not counted in running totals. The employee and Administrators are notified. Unticked leaves it open.
  • Require code: tick it and every claim must carry a code. Unticked means a code is optional. See Claim types, codes and locations.

Under Reminder and escalation, enter the days to wait before a reminder or an escalation is sent. Blank means that message is not sent. See Reminders and escalations.

  • Most changes apply to claims added from now on. A sheet already submitted keeps the rules it was submitted under.
  • An Administrator can still override the backdating limit on a single claim, with a mandatory reason that is recorded.
