Claim types, codes and locations

Three lists sit beside Profile as tabs on the company page: Lists, References and Locations. People choose from them when they claim.

  • You hold the Administrator role.

Types are the labels on mileage and expense claims. A new company starts with the mileage type Business and the expense types Public transport, Parking and tolls and Other. The two subsistence types, Day and Overnight, come with the company.

  1. Open Company and select the Lists tab. The list shows Kind, Name and Status.
  2. To add one, choose New, pick the Kind (Mileage or Expense), enter a Name, and choose Save.
  3. To rename one, choose Rename. To stop people choosing it, choose Retire. Subsistence types can be renamed but not retired.

A retired type stays on claims that already use it.

Codes are reporting labels people can choose on a claim, for example a project. Metadata is optional detail stored with a code.

  1. Select the References tab and choose New.
  2. Enter the Code and, if you want, Metadata, then Save.

If Require code is ticked in Company settings, a claim cannot be saved without one. That is an error, not a warning.

Locations are named places people can choose as an origin or as their normal place of work.

  1. Select the Locations tab and choose New.
  2. Enter the Name and the Address. The address is used on the map. A blank address is stored as no routeable address.
  3. Choose Save.

Locations then appear when you add a journey and when you set someone’s normal place of work.
